How we use your information

 

This privacy notice tells you what to expect when Kate Garden Health collects personal information. It applies to information we collect about:

 

  • visitors to our website;

  • bookings via our website;

  • subscribers to our newsletter;

  • people who use our services, eg who book a personal consultation or attend a group session;

 

Visitors to our website

 

We use a third party service, Wix.com, to publish and host our website. We use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

This privacy notice does not cover any links within our site linking to other websites. We encourage you to read the privacy statements on the other websites you visit.

 

Booking via our website

 

When you book a consultation, package or buy a service or functional test from our website, we may store your name and email address via Wix.com and Practice Better software. We may also process your payment information via Stripe, but will never store card or account details.

 

E-newsletter

 

We use a third party provider, Wix.com, to deliver our occasional e-newsletters. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. When people subscribe to our newsletter, they can cancel their subscription at any time by emailing info@kategarden.co.uk or replying to a newsletter asking to unsubscribe.

People who email us

 

We use standard email software to send and receive emails. If you send personal information to use via email, this may be unencrypted and will be stored in our email system whilst we need access to it. We monitor any emails sent to us, including file attachments, for viruses or malicious software. Please be aware that you have a responsibility to ensure that any email you send is within the bounds of the law.

People who use our services

 

We offer one-to-one consultations in person at our Bath and London clinics and via Zoom and telephone to UK based and international clients and patients.

We collect personal medical and other information to enable us to provide our services. Data is collected, analysed and stored using the US based platform Living Matrix and Practice Better.

 

LivingMatrix is hosted on the Datica HIPAA Compliant Cloud that is also HITRUST Certified and Coalfire Certified (independent Certifiers). HIPAA is a stringent set of regulations that govern the use of personal and health data in the US.

 

Our patients will be given access to the LivingMatrix and/or Practice Better patient portal and by using this portal, you consent to the storage and analysis of the data that you provide. Our practitioners may make hand written notes during a consultation, however afterwards, these will be securely stored electronically via LivingMatrix/Practice Better and the hard copies destroyed. Data may also be stored on the hard-drive of computers used by Kate Garden Health. These computers are encrypted and password protected and only available to staff members of Kate Garden Health.

 

In accordance with our regulator, the Complementary and Natural Healthcare Council (CNHC), we hold patient records for 8 years from the date of the patient’s last visit with us, or where the patient is a child, until their 25th Birthday if that is longer. These records are held in LivingMatrix and Practice Better. If we discontinue our use of LivingMatrix, historical records will be held on DVD and kept in a locked cabinet which is only accessible by the practitioner or the principal of the business. Once a record passes the relevant regulatory time limit, it will be securely destroyed within 1 year.

 

Where consultations take place via Zoom /Skype or other electronic meeting software, you may need to provide your name and email address to the software provider. Please review their privacy policy before doing this.

 

Complaints or queries

 

Kate Garden Health tries to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures.

Access to personal information

 

Individuals can find out if we hold any personal information by contacting us at info@kategaraden.co.uk. We will tell you what information we are holding, why we are holding it and provide you with a copy of the information upon request. You can also ask us to delete the information.

 

Disclosure of personal information

 

In most circumstances, we will not disclose personal data without express consent. However, where a practitioner believes a patient may be at risk of physical harm, we will need to share personal information with the appropriate authority. We will always notify you if this is the case.
